2020-2021 Welcome to Campus Plan FAQ

Q. What is the holiday and break schedule for Spring 2021? 

A. Due to the increased risk created by travel associated with three-day weekends and extended breaks, we have eliminated all multi-day breaks from the spring semester.

• Martin Luther King Jr. Day. Administrative offices will be open on Monday, January 18, Martin Luther King Jr. Day. Although classes will not yet be in session, we will provide programming that respects and honors Dr. King and his legacy on January 18.
• Spring Break. Spring Break has been cancelled for two reasons: having a spring break would encourage student, faculty, and staff travel that is not safe for our community; and cancelling spring break creates room in the calendar that we will need in the event of a major COVID-19 disruption or stay-at-home order.
• March and April Breaks. In lieu of a week-long spring break, BFA students will have two mini-breaks, one in March and one in April. The two planned breaks are March 9-10 and April 1-2; view the full academic calendar here.

Q. Will COVID-19 testing continue through the Spring 2021 semester?

A. Prior to returning for the spring semester, students will be required to provide results of a negative COVID-19 test from a test taken on January 18th, 19th, or 20th (5-7 days prior to returning to campus). Results must be submitted to registrar@meca.edu by Sunday, January 24 at 10:00am. Students will also be required to take a COVID-19 test at MECA&D on Monday, January 25, and must have a negative result in order to attend classes, which begin on Wednesday, January 27th.

Q. What is the schedule for the end of the Spring 2021 semester? When are major critiques?

A. First- and second-year students end the semester on May 7, and third- and fourth-year students end with two days of majors critiques on May 10 and 11. Commencement is Saturday, May 15.

Q. When is Commencement?

A. Commencement has moved to Saturday, May 15. We are planning on having an in-person graduation ceremony for BFA, MFA, and MAT students though it will not look like a “traditional” graduation. Details forthcoming.

Q. What is MECA&D's travel policy for students?

A. Students are no longer permitted to travel outside of the state of Maine. Students are encouraged to not travel outside of Portland unnecessarily. This policy has been updated for the following reasons:

1. The onset of cold and flu season is causing a host of additional symptomatic concerns spreading through the community, making it difficult to discern COVID symptoms from traditional cold/flu symptoms.
2. COVID cases are increasing in many states. While the states declared safe by Governor Mills are the safest states, Maine remains safer than most of those other states by far. For the foreseeable future, during the academic semesters, all travel outside of Maine is not permitted to maintain the safety “bubble” for our entire community. If you need an exception made to the policy, email studentlife@meca.edu and Student Life will review cases on an individual basis.

Q. What does this mean for BFA Second-Year students?

A. If you are accessing campus after November 25, you will not be permitted to travel outside of Maine for Thanksgiving Break. If you are not opting to use your studio or the academic resources in Porteous and Cumberland 380 after November 25, you can leave the state of Maine and return for the Spring semester per MECA&D Safe & Healthy protocols (forthcoming).

Q. What does this mean for Third- and Fourth-Year Students (Majors)?

A. For students planning to access campus after November 25, travel outside of Maine for Thanksgiving Break is not permitted. Students who are not opting to use their studio or the academic resources in Porteous and Cumberland 380 after November 25, can leave the state of Maine and return for the Spring semester per MECA&D Safe & Healthy protocols (forthcoming).

Q. What does this mean for Graduate students?

A. For students planning to access campus after November 25, travel outside of Maine for Thanksgiving Break is not permitted. Though likely not applicable for graduate students, those who are not opting to use their studio or the academic resources in Porteous and Cumberland 380 after November 25, can leave the state of Maine and return for the Spring semester per MECA&D Safe & Healthy protocols (forthcoming).

Q. When does the fall semester end for First-Year students?

A. First-year students came to campus a week earlier than all other students and will have completed their full semester by Wednesday, November 25, which is their last day on campus. First-Year students have classes on Wednesday, Nov 25, with no in-person or synchronous online 100-level courses after 5:30 pm.

Residence halls close at 10:00am Thursday, November 26 for First-Year students. For those few First-Year students who have a course continuing after November 25, the course will be completed online.

Q. When does the fall semester end for Second-Year students?

A. All Second-Year students complete their in-person classes on Wednesday, November 25 and any other courses in which they are enrolled will continue until December 18. After Nov 25, Second-Year students will still have access to MECA&D’s computer labs, library, open classrooms for studying, the Café, and all other student services. Studios will not be open to Second-Year students as studio classes will have been completed.

Q. When does the fall semester end for Majors (Third- and Fourth-Year) students?

A. Third- and Fourth-Year students complete their in-person classes by November 25 and will be completing online classes until December 18. After Nov 25, Majors will continue to have access to MECA&D’s computer labs, library, open classrooms for studying, the Café, and all other student services. Majors will have access to their majors studios until December 18. There are no studio academic requirements allowed during this time.

Q. When does the fall semester end for Graduate students?

A. The MFA and Salt semesters will end on Friday, December 18th. MAT students will commence their holiday break on  December 19th.

Q. What are spring semester dates?

A. MECA&D’s spring semester BFA, MFA and Salt programs are currently scheduled to begin on January 11, 2021 and end on April 30, 2021. Students in the MAT program will begin their spring semester on December 9, 2020 and end on April 30, 2021.

If health and safety necessitate, we will modify the calendar accordingly.

Q. Will classes be online or in-person?

A. Instruction in Fall 2020 will take place in-person as well as via hybrid and online forms of delivery, in order to provide maximum flexibility while preserving the essential elements of the learning experience for MECA&D students. We are prioritizing in-person instruction for those courses that are most dependent on studio access and MECA&D facilities.

Q. Why are classes for first-year students starting a week before classes for returning students?

A. MECA&D is implementing a phased start for the Fall 2020 semester to best protect our community. The phased move-in process and start date schedule are designed to reduce congestion for move-in to the residence halls and to create less density on campus at the start of the fall semester.

Additionally, with a limited number of students on campus in late August, we are able to extend the orientation period, offer activities in small gatherings, and allow staff and student leaders to connect with new students in appropriately-sized groups to facilitate their transition to Portland and the MECA&D community.

Q. Why are BFA students starting the fall semester earlier than previously announced?

A. The College has revised its academic calendar and course schedule to give students as much time as possible for in-person instruction at the start of the semester in the event that remote or hybrid online/in-person instruction is necessarily required later in the semester due to a spike in COVID-19 cases. We will start the fall semester earlier than planned and have students begin their coursework in phases. Coursework that is most dependent on in-person engagement and MECA&D studio access will be emphasized at the start of the semester.

Q. Are all students required to submit a COVID-19 test prior to the start of the semester?

A. ALL students, regardless of home state or other state of Maine or city of Portland regulations, are required to submit results of an initial negative COVID-19 test before entering any campus buildings, including residence halls.

Q. What type of COVID-19 test results does MECA&D accept?

A. MECA&D is accepting test results from molecular diagnostic tests, such as RT-PCR tests. At this time, we are not accepting results from antigen or antibody tests. According to the CDC, antigen tests are more likely to miss an active coronavirus infection compared to molecular tests, and antibody tests only detect antibodies the immune system develops in response to the virus, not the virus itself.

Q. What are the testing requirements for on-campus vs. off-campus student residents?

A. On-campus residents can now get tested up to 10 days BEFORE they arrive for Move-In (previously three days). They must have negative test results submitted to registrar@meca.edu before they are permitted to move into their residence hall.

Off-campus students will need to take a COVID-19 test no more than 10 days before their first class. They must have negative test results submitted to registrar@meca.edu before they are permitted to enter academic buildings for their first class.

Q. How will MECA&D manage ongoing COVID-19 Testing?

A. Everyone in our community (faculty, staff, and students) will submit initial negative test results before the semester begins as mentioned above. MECA&D will then provide on-going, regular testing for everyone starting right away to aid in maintaining a healthy community.

Q. What Happens If A Student Tests Positive or Develops Symptoms?

If anyone becomes symptomatic while in academic buildings, that person should leave the academic building immediately and studentlife@meca.edu.

• MECA&D will provide a referral for a COVID-19 test.
• Anyone who lives off campus with symptoms will be required to stay off campus until they have met the CDC guidelines for ending home-isolation procedures, or until they have been cleared by a medical provider. Out of an abundance of caution, a single negative test result of COVID-19 may not clear someone who is still exhibiting symptoms to return to campus.
• If the student is an on-campus resident, they will be moved to a quarantine unit in a MECA&D facility.
  • We have residence hall rooms set aside for on-campus students who develop symptoms or who test positive to permit them to quarantine appropriately.
• We will immediately close areas used by individuals known or suspected to have COVID-19 for thorough cleaning and disinfection, and whenever possible, waiting up to 24 hours before cleaning and disinfection.
• Without disclosing the identity of those who may be ill, MECA&D will contact all individuals who have come into close contact with someone who is known or suspected to have COVID-19 to advise them of this fact, and to refer them for a COVID-19 test.
• A student with a confirmed case of COVID-19 who is asymptomatic may return to MECA&D’s facilities and attend in-person classes 10 days after the test in accordance with current public health protocols.
• As with any major illness, a students’ emergency contact will be called. The student and the emergency contact may work with Student Life to get referrals for local medical attention.
  • If the student’s condition worsens or is of such a nature that the student must be removed from the College for long-term medical care, Student Life will work with the Dean’s Office to ensure Faculty are updated on the student’s absence.
  • When the student recovers, Student Life will assist in the transition back to the classroom if possible or to assist in filing a Medical Leave request.

Q. What is MECA&D doing to prioritize the health, safety, and wellbeing of the MECA&D Community?

A. To protect the well-being of all members of the MECA&D community, we have established health and safety guidelines to be implemented by policies and protocols that all members of the MECA&D community are expected to follow while on campus. This includes the following:

• A COVID Operations Working Group meets weekly to review the most current public health guidance.
• Instructional spaces are being evaluated for new capacity limits based on maintaining 6' distancing.
• Signage will be posted outside of each room to indicate the maximum capacity of the space.
• Plexiglass barriers are being installed in classrooms, studios, the MECA&D Café, and common area spaces where 6’ distance can not be easily maintained.
• Cleaning levels across all campus buildings have been intensified, following current CDC and Occupational Safety and Health Administration guidance, and will continue to be adjusted based on the type of occupancy, intensity of use, and hours of operation.
• All spaces are being cleaned and disinfected daily, including approximately 800 high touch surfaces (such as door handles, light switches, restroom hardware, and handrails, etc.), as well as hard surfaces (including tables, chair backs, etc.) in all classrooms and labs.
• Contactless thermometer stations can be found in the lobby of the Porteous Building and at the security station in the 380 Cumberland building.
• Contactless hand sanitizer stations are available in all academic buildings and residence halls.
• The Porteous Building’s HVAC system was upgraded last year and fresh air is exchanged approximately five times per hour. An indoor air quality assessment will be conducted with the goal of maximizing the capacity of the HVAC system to mitigate the spread of viral material.
• Ionization devices are being installed in 380 Cumberland. This technology releases charged atoms that attach to and deactivate harmful substances like bacteria, mold, allergens, and viruses.

We are working with a consulting physician, a specialist in Infectious Disease affiliated with Maine Medical Center, to help facilitate a safe return to campus for our students, faculty, and staff. The physician will be our consultant on issues of health and safety throughout the semester and will be able to refer students for COVID-19 testing as needed.

Q. What are campus-wide health and safety requirements?

A. Our MECA&D College-wide precautions include requiring students, faculty and staff to participate in regular COVID-19 testing, promoting physical distancing whenever possible and requiring the wearing of face masks at all times in all shared spaces within MECA&D buildings -- including classrooms, studio spaces, and common areas in all MECA&D facilities and housing, with the exception of residence hall rooms.

Students, faculty, and staff will be asked to monitor their temperature daily – there are contactless thermometer stations on the first floor of the Porteous and 380 Cumberland buildings – and good hygiene, especially regular handwashing, will be strongly encouraged.

Q. What types of masks or face coverings are permitted at MECA&D?

A. Acceptable face masks at MECA&D are cloth face masks which include three-layer surgical masks as well as cotton masks, which may be made at home.

A recently published study concluded that neck fleeces, also called gaiter masks, folded bandanas, and knitted masks do not offer much protection or stop the majority of respiratory droplets, and therefore are not acceptable face coverings for use at MECA&D. Additionally, the CDC does not currently recommend use of face shields as a substitute for masks, except in cases where it is not feasible for the wearer to use a cloth face mask due to a medical or safety concern.

Q. Will the Café @ MECA&D operate?

A. While the Café @ MECA&D will not be able to operate the exact same way it has in the past, we will still be offering meal and retail service seven days a week to students, faculty, and staff. Additionally, we have taken this opportunity to expand our offerings to include new services. A new Grill Station will feature breakfast sandwiches and bowls in the morning and deluxe local beef burgers, chicken sandwiches, vegan veggie burgers, and grilled sandwiches for lunch and dinner. You will also have the opportunity for contactless ordering with easy “Grab and Go” pickup.

We will continue to offer homestyle entrees and sides, deli sandwiches, assorted salads & fruits, soup du jour, and assorted dessert choices. “Simply to Go” options, assorted retail snacks, bottled beverages, and ice cream will still be available.

Some additional operating notes:

• Signage will be posted to direct students, faculty, and staff in and out of the Café, serving areas, and the dining room. Video walkthroughs will be created and sent out closer to student arrival to familiarize guests with our new layout. Guests are asked to please follow all signage and protocols.
• There will be a limit of 10 people at a time into the serving area. All meals in the serving area will be offered in a “To Go” fashion, however, the dining area will be open for guests who wish to sit and dine.
• Guests will also be able to pre-order meals and pick them up from the cafe by submitting an online order form up to one hour before meal service.
• The dining room will be reconfigured to allow for social distancing and will accommodate a maximum of 35 seated guests.
• The register will be moved so guests are able to tap their ID card for Meal Plan or MECA&D Bucks transactions or to pay with their credit or debit card. The Café will not be accepting cash.
• We are unable to allow reusable cups in the MECA&D Café but compostable packaging will be used whenever possible. Please follow posted signage for proper disposal methods.
• In the event that a meal plan participant is required to quarantine, meals will be available for delivery.

Q. What are my responsibilities?

Q. Are guests/visitors permitted at MECA&D?

A. Students are not permitted to have guests or visitors at MECA&D, including the residence halls or their studios.

• Our residence hall spaces are not large enough to promote appropriate social distance.
• Students can utilize the Green Space or other outdoor areas for socializing with appropriate social distancing.
• Use common rooms for indoor socializing; just be mindful of capacity numbers posted in each common room.

Q. Will I be able to stay in MECA&D housing IF there is another state-mandated stay-at-home order?

A. Yes, students will be permitted to stay in MECA&D housing if there is a state-mandated stay-at-home order. All MECA&D housing will feature upgraded network bandwidth and wireless upgrades to support a potential transition to full or partial online learning. Updated dining, heath, and safety protocols will be communicated in line with state guidelines at that time.

Q: Can I apply the room and board refund to next year’s bill?

A: On a case-by-case basis. If the current year’s housing charges were paid with Title IV funding, federal regulations prohibit us from holding a credit balance from one academic year to the next. If that is the case, we encourage you to reduce your debt by asking the Financial Aid Office to return the credit balance to your student loans (if applicable). Funds should first be returned to a Parent PLUS loan or private student loan, then your Unsubsidized Loan, and lastly your Subsidized Loan. You can request the loan reduction by using this form.

Q. Will the Joanne Waxman Library be open?

A. The Joanne Waxman Library will be open to MECA&D MFA and MAT students during designated hours this summer. MFA and MAT students are encouraged to request books for pick-up at the front security desk by emailing library@meca.edu. The library will be open to all students in some capacity in the fall.

Students can continue to access a wealth of online resources on the library website. Any questions about remote authentication should be directed to library@meca.edu. Students can continue to place requests for articles by using this form. Note: turnaround times on these requests may well be impacted by staffing reductions or closures at other libraries.

Q: How can I get help with reference or research services?

A. Students can contact the library with any questions about research or access to library materials using the following three methods:

Q. What Student Life services will be available?

A. Student Life programs and activities are a vital part of the student experience. Student Life will offer virtual programming, especially around inclusion and community-building for new students.

Before new BFA students arrive on campus, they will complete Orientation online. With only the first-year class on campus in late August, Student Life is able to offer additional in-person Orientation activities in conjunction with their first week of class in small groups.

Student Life will continue to leverage our @mecastudentlife Instagram account to share updates and meaningful content and help us all stay connected.

Student Life will continue to use the Student Life Weekly Updates email to share important information, virtual programs, and other ways to be involved. Students are responsible for knowing the contents of this email as official changes to policy are shared in this email.

Q. What Counseling & Disability Services will be available?

A. Full MECA&D Counseling services will be available via HIPAA-compliant Google Meet. All regular appointments with Counseling Services can be made by emailing counseling@meca.edu to schedule a session.

Q: How can I arrange for or discuss ADA accommodations?

A: You can email disabilityservices@meca.edu and Joanne Benica, Coordinator of Disability Services, will reach out to you.

Q: What if I didn’t need ADA accommodations for in-person classes but I do for online or hybrid learning?

A: Joanne Benica, Coordinator of Disability Services, can help you work with your faculty to get the accommodations you require.

Q. What career services will be available?

A. Artists at Work is available to provide career services to students and alumni. From resume writing and grant applications to internship and employment support, this office connects creatives to resources that put their skills to use in the world.

Q. Can internships happen?

Internships will continue in line with state-mandated guidelines this summer and fall.

Q: How can I access Writing & Tutoring?

A: Writing & Tutoring: students can arrange for remote tutoring and writing assistance by booking an appointment here. Students can choose from either meeting with a tutor via Google video call or requesting that a tutor read their assignment and return it with comments and suggestions.

Q: Will the summer intensive still happen as scheduled?

A: The MFA Summer Intensive will begin on July 6, 2020 and run through August 28, 2020. MFA students should refer to the details and FAQ sent via email.

Q: Will Summer adult classes and workshops and youth camps run as scheduled?

A: Due to the COVID-19 crisis, and the uncertainty surrounding this situation, it is with great sadness that we have made the decision to cancel all in-person Continuing Studies classes this summer. This includes all adult workshops and classes as well as our youth camps. All students will be fully refunded.

Although our in-person classes are canceled this summer we are excited to share that we are offering CS online programming. Visit cs.meca.edu to view our online class offerings as well as registration dates.

Q: Will I be able to meet with my Admissions Counselor. How will I know who my Admissions Counselor is?

A: Absolutely - all of our Admissions Counselors are dedicated to helping you with your college selection decision. Q. Are there any special requirements for students who will be traveling to MECA&D from out of state?

A: In the coming weeks, students will receive an email with detailed information about the specific health and safety requirements that members of our community will be expected to comply with during the semester, including protocols for students traveling to MECA&D from out of state.

Q. What are the move-in procedures?

Q. What are spring semester dates?

A. MECA&D’s spring semester BFA, MFA and Salt programs are currently scheduled to begin on January 11, 2021 and end on April 30, 2021. Students in the MAT program will begin their spring semester on December 9, 2020 and end on April 30, 2021.

If health and safety necessitate, we will modify the calendar accordingly.

Q. What are the Start and Move-in Dates for First-Year BFA Students?

A. The BFA semester begins for first-year students on Monday, August 24th.

Move-in for first-year students will take place between August 20th and 23rd. Each first-year student will receive a designated move-in time and date via their MECA&D email that is based upon their housing assignment.

Q. Are there any special requirements for students who will be traveling to MECA&D from out of state?

A: In the coming weeks, students will receive an email with detailed information about the specific health and safety requirements that members of our community will be expected to comply with during the semester, including protocols for students traveling to MECA&D from out of state.

Q: Will MECA&D continue to operate?

A: Yes, MECA&D will continue to operate. According to Homeland Security Guidelines, MECA&D is an essential business and is part of the essential critical infrastructure workforce, which includes educators supporting public and private K-12 schools, colleges, and universities for purposes of facilitating distance learning or performing other essential functions, if operating under rules for social distancing. Essential businesses are permitted to continue to operate, but are encouraged to have their employees work remotely to the greatest extent possible and to adhere to the rules for social distancing for any on-site operations. The majority of MECA&D faculty and staff are already working remotely with plans to continue to do so for the foreseeable future as the College transitions to distance/online learning. A small group of essential personnel will continue to work out of the Porteous Building under the rules for social distancing to ensure the College operations.

Q: I’m still living in the residence halls in Portland. What does this mean for me?

A: Pursuant to Governor Mills’ “Stay Safer at Home” Executive Order, people living in Maine are required to remain at home unless they are leaving for an essential job or to participate in an essential activity or visiting business/participating activities that have been permitted to open during Stage 1 of the Governor’s plan to gradually restart Maine’s economy. Among others, essential activities including obtaining necessary household supplies (such as groceries, laundry products, supplies needed to work from home), obtaining medication/medical supplies/medical services, and engaging in outdoor exercise activities while in compliance with all social gathering restrictions and social distancing guidances.

Q: Where can I find more information about COVID-19 in Maine?

A: The latest information about Maine’s response to COVID-19 and resources for Maine people on the Governor’s website. Visit Restarting Maine’s Economy to read about the Governor’s plan to gradually and safely restart the state’s economy. Maine CDC is also providing regular updates and information.

Following the previously announced extended spring break, which runs through Sunday, March 29th, all Maine College of Art & Design students will continue their academics remotely/online for the remainder of the spring semester. All MECA&D physical facilities are closed until further notice.

Q: When will classes resume, and when does the semester end? 

• The BFA and MFA semesters will re-start on Monday, March 30, 2020. The end of the BFA and MFA semesters has been moved to May 15, 2020.
• The MAT program has already restarted and the MAT semester will end on May 7, 2020.
• Salt students will resume their program on Monday, March 23 and the Salt semester will formally end on May 8, 2020.

Q: How will I find out about moving forward with my courses?

A: Students will hear from each of their faculty directly about how this shift in curriculum delivery will work. Faculty are working with the Dean of the College and other staff to plan to deliver courses remotely/online. Expect to hear from your faculty next week (March 23 - 27).

Q: How am I going to complete my work remotely?

A: Faculty will work with you to finish all the work that can be completed. We realize that students have varying resources and will work with you to ensure you can complete the semester. We are surveying students regarding their access to the resources they need.

Q: How will assignments be graded if we are working remotely?

A: Your faculty members will communicate with you about any revisions to course assignments, as well as the details of how they will be graded and evaluated.

Q: How will I register for classes next year?

A: The Registrar’s Office has created a process for students to register online for next year’s courses. Students will receive detailed instructions via email.

Q: Are we still having Commencement? 

A: As of March 18, 2020, Maine has banned gatherings of more than 10 people until further notice. In order to safeguard the MECA&D community and the community at large, we are postponing our 2020 Commencement Ceremony. We are planning to have a celebration of our 2020 graduates at the beginning of the Fall semester.

Q: What is happening with the BFA and MFA Thesis shows?

A: The BFA thesis show is postponed; we hope to have a thesis show for seniors at the start of the Fall semester. The MFA Thesis show is also postponed. We will be sharing more information about rescheduling the Thesis shows as soon as possible.

Q: Will I still receive my degree in May, even though the commencement ceremony is postponed to the fall?

A: Yes. Students will receive their diplomas as long as all of their degree requirements are met. The one exception is that seniors do NOT have to participate in Thesis this year in order to graduate. The Commencement ceremony is always optional, though we encourage everyone to attend if they are able.

Q: If we don’t have commencement, how will I get my diploma?

A: Diplomas will be mailed to students once they have completed their degree requirements.

Q: I know participating in the BFA Senior Thesis is a graduation requirement? How am I going to graduate if we are not having the thesis show?

A: The requirement to participate in thesis to graduate is waived this year due to extenuating circumstances. Students will receive their diploma as scheduled as long as all degree requirements are met.

Q: What social media will Student Life be operating for this semester?

A: Student Life will continue to leverage our @mecastudentlife Instagram account to share updates, interesting and meaningful content, and help us all stay connected throughout the rest of our Spring semester.

Q: Will Student Life still offer programming after classes move online?

A: Student Life is committed to offering opportunities to students where possible. While we won’t be able to offer our traditional style of programs, our hope is to coordinate some virtual ways for students to connect throughout the end of the term.

Q: Will we still be receiving a weekly email from Student Life?

A: The Student Life Update Email will resume Monday, March 30th. While the format may transition away from a weekly model, you can expect Student Life to continue sending regular updates with important information for the community.

Q: Will the Student Life Service Awards be rescheduled?

A: Unfortunately, we will not be holding this ceremony this Spring. We will send all Student Leaders associated with Student Life their service award by mail.

Q: What is the deadline for moving out of my residence hall?

A: All on-campus students must have their belongings out of the residence halls and be checked out by 7:00 PM on Sunday, March 29th. If you cannot do so because of travel restrictions or other concerns, please contact studentlife@meca.edu to let us know; we are happy to work with you to do what is best.

Q: What steps do I need to do in order to complete my move out?

• Each Resident will receive a personalized key envelope taped to their residence hall door.
  After they have removed their belongings and appropriately cleaned their space, they should put their keys inside the key envelope with their name on it, seal it, and place the key envelope in the designated packet on your RA’s door.*
  • *Given the mixed community at the Ambassador, we are asking that those residents call the RA phone to coordinate the returning of their keys, instead of attempting to leave them at their RA’s door.
• As soon they’ve turned over their keys, they must fill out this Online Check-Out Form to let us know they are out of their room.

Q: I live far away, do I have to buy a plane ticket just to come back and move out by the 29th?

A: Student Life will certainly work with you when it is safer (and legal for some folks in certain states) to come remove your items. We want only those who are currently in the halls or who can safely come retrieve their items to do so. You can work with their building AD to schedule a time when it is both safe and legal to retrieve their personal belongings.

Q: What if I’m in a state that prohibits travel and can’t move out now?

A: Email studentlife@meca.edu and we’ll work with you to arrange a time when it is safe and legal to travel to collect your items before the end of term which is now May 15th.

Q: Can I just leave my stuff in my room for the summer if I am moving back into the same room?

A: Unfortunately, no--the halls are used for other programs over the summer and need to be cleared out in preparation for their use. Please retrieve your items.

Q: How is the College assessing room damages, if we aren’t doing standard room inspection forms during check-out?

A: After allowing three days post-checkout of all residents for safety, Student Life staff will go in and take photos of the room and assess damage charges. The only charges residents may incur for damages are:

• Excessive Cleaning: You are responsible for cleaning your space upon departure. Wipe down your furniture, clean the bathroom, and ensure minimal cleaning must occur for someone else to move in. You must remove all garbage from your space as well.
• Excessive Damage: If blatant damage to the space or furnishings has occurred, we will bill you for repair or replacement. Normal wear and tear will be ignored.
• Abandoned Property: Bikes, extra furniture, household items, clothing, etc. that are found will be removed at your expense. Please be mindful to take home what you brought here.

Students who accrue charges will receive an email from Student Life detailing which damages they are being charged for and what amount they will be charged.

Q: Will my room and board be refunded and how will reimbursements be received by students?

A: Room and board will be prorated and either credited to your account or refunded to you by check. Student Accounts will be in touch shortly with the amount and timeline for this refund. The MECA&D Business Office is aware of how vital it is to receive this refund and staff are doing their best to expedite the process. This will necessarily happen after room inspection and any assessment for damages.

Q: Will the hall closure now impact Housing Selection for next year?

A: Student Life is moving forward with Housing Selection for the next academic year. The only change is the date. Returning Student Housing Selection will now be held online on Sunday, April 5th starting at 10:00 AM. Students who registered should check their MECA&D email for information on their specific Report and Selection Times.

Q: Can I still meet with my counselor?

A: Yes. If you have been utilizing MECA&D Counseling this semester, a MECA&D counselor will reach out to you by email prior to March 30 to make arrangements for video sessions (if you wish) via HIPAA-compliant Google Meet. If you have not met with a counselor in 2020 and would like to do so, please email counseling@meca.edu to schedule a session.

Q: How can I arrange for or discuss ADA accommodations?

A: You can email disabilityservices@meca.edu and Joanne Benica, Coordinator of Disability Services, will reach out to you.

Q: What if I didn’t need ADA accommodations for physical classes but I do for distance learning?

A: No problem! Joanne Benica, Coordinator of Disability Services, can help you work with your faculty to get the accommodations you require.

Q: I live nearby, can I work in my studio or in a MECA&D classroom while the College is closed? 

A: No. All MECA&D facilities will be closed until further notice, including major’s studios and classrooms.

Q: How do I get essential supplies from my studio or locker?

A: Students received an email from the Dean of the College, Ian Anderson, with instructions to arrange for a time to be provided access to the Porteous Building prior to March 29th to remove essential supplies from their studios and/or lockers. Only students will be allowed to access the building -- not friends, parents and/or family members.

Q: Do I have to clean out my studio by March 29th?

A: Students will not be required to “move out” of their studio or retrieve any items if they do not wish to do so. The studios will remain safe and locked during the COVID-19 crisis, and when it is deemed safe to fully return you can get your belongings. We cannot give you a definitive date at this point in time as this is dependent on the containment of COVID-19.

Q: What if I have library materials in my studio?

A: Students are encouraged to leave library materials in their studios. Library materials that are taken home will be due back after the end of the semester.

Q: Will student artwork get damaged during the cleaning of the studio spaces?

A: No. At this time we do not envision going into individual studio spaces. The focus of our sanitization efforts are on common spaces, high traffic areas, and high touch surfaces. Our Director of Facilities is very diligent with regard to protecting the sanctity of student artwork.

Q: When will I be able to access my studio?

A: We will re-open the studios as soon as it is deemed safe for students to work in those facilities. We are currently exploring ways to have students, including our seniors, return this summer to work in the studios.

Q: Will I be refunded for my room and board?

A: Room and board will be prorated and either credited to your account or refunded to you by check. Student Accounts will be in touch shortly with the amount and timeline for this refund. The MECA&D Business Office is aware of how vital it is to receive this refund and staff are doing their best to expedite the process. This will necessarily happen after room inspection and any assessment for damages.

Q: Can I apply the room and board refund to next year’s bill?

A: On a case-by-case basis. If the current year’s housing charges were paid with Title IV funding, federal regulations prohibit us from holding a credit balance from one academic year to the next. If that is the case, we encourage you to reduce your debt by asking the Financial Aid Office to return the credit balance to your student loans (if applicable). Funds should first be returned to a Parent PLUS loan or private student loan, then your Unsubsidized Loan, and lastly your Subsidized Loan. You can request the loan reduction by using this form.

Q: Will my tuition for spring term be refunded?

A: Maine College of Art & Design is continuing all spring semester academic programs remotely/online and ensuring that students have the resources necessary to meet graduation requirements. Tuition is not refundable.

Q. Will my lab fees be refunded?

A: We are in the process of examining which courses have unused lab fees. Students enrolled in those courses will receive partial lab fee refunds which will be posted to their accounts.

Q: Do I have to make my monthly tuition payment?

A: Yes. Payments should be paid up to date, including your payment for March. Once you are notified by the Billing Office that your statement has been adjusted, you can then adjust your TMS payment plan budget to make your last payment in April.

Q: What if I’m having trouble making my monthly tuition payment?

A: We have made accommodations in our policy for students to extend their payment plan. If this is something you are interested in, please contact Tammy Jackson, Student Accounts Manager, at billing@meca.edu.

Q: When will I see a prorated adjustment to my student account for room and board charges?

A: Student account balances will be adjusted for room and board following move-out and assessment of any damages.

Q: Will my financial aid be affected?

A: No, your financial aid will not be impacted by any adjustments to your student account.

Q: Is my MECA&D health insurance still valid?

A: For those of you who are enrolled in the school insurance, you have access to the MECA&D Health Insurance until September 1, 2020.

Q: Can I access items in the library while MECA&D is closed?

A: All MECA&D facilities will be closed until further notice, including the library, so you cannot physically access library materials. If a student has an urgent need for a text, the library will work with students on potential purchase and delivery of eBooks or physical texts. Requests will be reviewed by library staff and processed based on a number of factors, including the availability of various resources.

Students can also access a wealth of online resources on the library website. Any questions about remote authentication should be directed to library@meca.edu. Students can continue to place requests for articles by using this form. Note: turnaround times on these requests may well be impacted by staffing reductions or closures at other libraries.

Q: I signed out a drawing tablet from the library until April. How and when do I return it?

A: At this time, you may keep it till the end of the semester and then return it either by physical return or postal mail. If you want to return it before you depart campus, the front desk can help you before March 30th.

Q: How can I get help with reference or research services?

A. Students can contact the library with any questions about research or access to library materials using the following three methods:

Q: I have books checked out from the library and/or other libraries. Will I incur fines?

A: Students should not worry about incurring overdue fines for any books they have checked out: all fines will be waived as long as all materials are eventually returned, either by physical return or postal mail.

Q: How can I access Writing & Tutoring?

A: Writing & Tutoring: students can arrange for remote tutoring and writing assistance by emailing hharvey@meca.edu or by booking an appointment here. Students can choose from either meeting with a tutor via Google video call or requesting that a tutor read their assignment and return it with comments and suggestions.

Q: I have an on-campus work-study job. Will I still get paid?

A: Yes. It is MECA&D's goal to continue providing you with work assignments to fill your regular number of scheduled hours. We are working behind the scenes with supervisors to identify if they might benefit from your knowledge, skills, and abilities by having you complete tasks remotely.

In the interim, paychecks will continue for work-study students even if you are not actively working. It is our hope the majority of you will be working again soon. Some will start back up sooner than others, the timing will depend on the bandwidth of supervisors to support your return. Please do not be concerned if no one has reached out to you yet.

Q: I have a job off-campus. Am I eligible for unemployment benefits?

A: Under the new federal Pandemic Unemployment Assistance (PUA) program, the usual requirements for benefits have been expanded. The program is now open to college students who work part-time and/or do freelance work. Here is more information on the old vs. new criteria:

Old criteria:

1. Have earned a regular paycheck for 18 months.
2. Have earnings of at least $5,140.74 and two of the four quarters must have earnings of at least $1,713.58.
3. Were not self-employed.

New Criteria:

1. Open to college students with part-time work, freelancers, independent contractors.

Q: Can I apply for the pandemic unemployment relief funds now?

A: Not yet in Maine. The program is not up and running as of April 3, 2020. However, once it is up, it will issue benefits retroactively.

Unless you meet those three criteria for the original benefits, any claim you put forth now will be denied.

Q: Where do I apply for benefits?

A: If you were working in Maine, you apply with the Maine Department of Labor. Maine Department of Labor website: maine.gov/unemployment.

Q: How much money will I get?

A: Benefit amounts will be calculated based on previous income, using a formula from the Disaster Unemployment Assistance program.

Q: I had a job and then my employer reduced my hours or has not asked me to come back. Does that qualify?

A: Yes.

Q: Any tips about applying?

A: Have documentation of past employment readily available.

When the federal program is open on the Maine website and you can create an account, do so on a computer. It is not a mobile-friendly site.

When you create your account, be sure to write down your password as the system will lock you out after two failed attempts. Then, to unlock it, you need a state employee. As there is a large volume of requests, that will delay your claim.

Q: What about the federal stimulus check for $1,200 I keep hearing about. Will students get those?

A: Students qualify for the stimulus check only if your parents do not claim you as a dependent on their taxes. For more information, please visit irs.gov/newsroom/economic-impact-payments-what-you-need-to-know.

If your mailing address has changed since you filed your 2019 federal income tax return, file IRS Form 8822 (Change of Address) to provide the IRS with your new address

The recovery rebate will be transferred by direct deposit if you previously provided the IRS with a bank routing number and account number for depositing an income tax refund.

The stimulus checks will be based on an estimate of your eligibility. You do not need to return the money if the estimate was too high.

“People who typically do not file a tax return will need to file a simple tax return to receive an economic impact payment,” the I.R.S. announced on its website on March 30.

Q: What if I still have questions?

Q: How can I access updated information about my courses, such as revised syllabi, updated assignments, and new deadlines?

A: Each spring semester course has been adjusted so the objectives can be accomplished remotely. Every course now has a “Front Door” document that contains all the basic information students will need about their classes. Students were provided links to the “Front Doors” for their spring courses and should email their faculty members with any questions.

Q: What is the grading policy for Spring 2020?

A: MECA&D has implemented a Pass/Fail Grade Policy for Spring 2020 undergraduate courses. This emergency grading policy recognizes the extraordinary circumstances of the Spring 2020 semester due to the COVID-19 pandemic. This policy only applies to undergraduate students enrolled in the Spring 2020 term.

In Spring 2020 Maine College of Art & Design (MECA&D) undergraduate students may elect to take any or all of their courses as Pass/Fail (P/F). Pass is defined as performance at the level of a D- or above as a final course grade. Fail is defined as performance at the level of F as a final course grade.

Students must notify the Registrar’s Office of each class they would like to take for P/F no later than April 27, 2020. A student designates a course as Pass/Fail by emailing the Registrar, Anne Dennison. The email must include the course(s) in which the student is exercising the Pass/Fail option, and the email must be received before 5:00 PM on Monday, April 27, 2020.

Courses covered by this emergency policy will satisfy all graduation requirements, including major and minor requirements and Foundation requirements. In certain circumstances, and for various reasons, faculty mentors, staff advisors, and other university officials may recommend that students do not take the Pass/Fail option. Students on academic probation should consult with the Registrar’s Office before making any decisions about Pass/Fail. The choice to designate any course Pass/Fail, and the responsibility for doing so, resides with the individual student.

Important details regarding this policy:

• The decision to switch to Pass/Fail is not reversible.
• The P carries no grade points and is not computed into a student’s semester or cumulative grade point average (GPA).
• A grade of F is recorded normally and is computed into a student’s GPA.
• This emergency policy applies only to undergraduate courses taken in the Spring 2020 semester.
• The college reserves the right to make exceptions to this policy.

Q: Will Full Residency TA positions continue for this term?

A: The MFA Office is working with the Dean’s office to determine how to continue these positions. We will be in touch with more information as soon as we have it.

Q: Will the summer intensive still happen as scheduled?

A: At this time, we are proceeding with the published start date and will update everyone if this changes.

Q: If I am located near my Studio Advisor can I meet with them in person?

A: No. In order to help contain the spread of the COVID-19 virus and reduce public health risks, we are asking all teaching and learning to be conducted remotely.

Q: How will one-on-one critiques be conducted?

A: There are many options, including video conferencing and email. Faculty will discuss how they will shape individualized feedback.

Q: In the Full Residency track, how will we conduct group critiques?

A: Faculty are working to determine the best platforms for conducting critique online and will share that information with you.

Q: How should I complete projects that require shop space and equipment?

A: Faculty will modify expectations to accommodate remote learning, and students will need to adapt in inventive and productive ways. Faculty will discuss how assignments should be completed, including those normally requiring shop access.

Q: How will the change to distance learning affect MAT students’ certification?

A: MAT program administrators have been in touch with the Maine Department of Education and confirmed that this change will not impact students’ eligibility for certification.

Q: What do MAT requirements look like outside of what individual school districts are planning for this time?

A: The expectations of the MAT program are not changing. Assignments are being modified given the move to distance learning.

Q: What if MAT students’ school districts are only giving optional work? Should MAT students still prepare remote lesson plans/ideas even if they won’t be utilized by their mentor teacher or school?

A: MAT students should continue to do research and come up with ideas and prompts that students would enjoy because mentor teachers, as well as the DOE, can always benefit from our feedback. MAT students should also continue developing online lesson plans.

Q: What is the plan for the rest of the semester?

A: On March 23rd, the Salt program will transition to remote learning mode. Classes will convene during their normally scheduled time blocks and will connect through a mixture of Google Hangouts, Slack discussion threads, Google docs, and email. Office hour protocols will also be adapted. While we are going to miss collaborating in close proximity to one another, the Salt team is committed to shaping an exciting last third of the Salt program experience.

Q: How will this impact our projects?

A: For the remainder of the semester, we will no longer be doing physical, in-person interviews for our audio projects. We will shift to phone, online, and other distanced-recording techniques to complete our stories. We'll discuss approaches to this -- practical, ethical, technological -- in class.

Q: What technology will I need to be able to complete my semester remotely?

A: You will need access to Pro Tools and Slack, as well as your Google account. If you are in Portland and would like to use your desktop computer from the Salt classroom, this can be arranged. Please reach out to Program Chair Colin Cheney for more information.

Q: Will Summer adult classes and workshops and youth camps run as scheduled?

A: Due to the COVID-19 crisis, and the uncertainty surrounding this situation, it is with great sadness that we have made the decision to cancel all in-person Continuing Studies classes this summer. This includes all adult workshops and classes as well as our youth camps. All students will be fully refunded.

Although our in-person classes are canceled this summer we are excited to share that we will be offering CS online programming. We will be announcing our online class offerings as well as registration dates in the next few weeks.

Q: Will the remaining Winter/Spring classes be rescheduled?

A: Maine College of Art & Design has always done its best to reschedule and create makeup classes. However, we are unable to do so during this time.

Q: What if I registered for a Winter/Spring workshop that has not happened yet?

A: Students will be refunded for Winter/Spring workshops that have not begun.

Q: Will Pre-College still begin on July 5th?

A: Due to the COVID-19 crisis and the uncertainty surrounding the situation, MECA&D has made the difficult decision to postpone Pre-College 2020 to 2021. For any student that registered for Pre-College 2020, we will reach out with online workshops and webinars to engage our Pre-College students during this time of social distancing.
